Vehicle Sales Support Administrator

Are you looking to join a well-established, growing business operating in the vehicle finance, leasing and commercial vehicle sales sector?
The Role:
This is a vital administrative support role working directly with the sales team to process and manage vehicle deals from point-of-sale through to delivery. Once a salesperson has completed a deal, the Sales Administrator takes over to handle all the necessary back-office tasks, ensuring that the transaction is processed accurately and efficiently, and that the customer is well looked after throughout the process.
This is a non-managerial role, ideal for someone with experience in motor trade administration, particularly within a car or van finance/leasing environment.
Key Responsibilities:
* Accurately process sales orders, finance forms, and documentation once a deal is agreed.
* Handle customer deposits, create invoices, and update records in the CRM system.
* Liaise with customers, suppliers, and finance companies throughout the deal lifecycle.
* Order vehicles and track delivery timelines, updating customers as required.
* Organise finance documentation and ensure all required KYC (Know Your Customer) checks are completed (e.g. photo ID, proof of address).
* Obtain and manage key vehicle details such as registration and chassis numbers.
* Work with finance providers to manage payouts, documentation, and commission invoicing.
* Upload and maintain all relevant documents and records for each deal.
* Support the coordination and scheduling of vehicle deliveries.
* Maintain excellent customer communication and request feedback post-delivery.
* Handle administrative tasks for the sales team
Requirements:
* Previous experience in a similar sales administration role within the motor trade (vehicle sales, finance, or leasing preferred).
* Strong knowledge of vehicle sales processes, VAT implications, and finance documentation.
* Proficient in using Microsoft Office and CRM systems.
* Excellent attention to detail and organisational skills.
* Ability to work efficiently in a busy, deadline-driven environment.
* Confident, professional communicator with a strong customer focus.
* Experience with invoicing and payment processing.
* Familiarity with the structure and pace of commercial vehicle sales is highly desirable.
Location: Office-based, Monday to Friday, 9:00am–5:00pm
