Sales Administrator Salary £30,000 - £35,000

Fully Office Based Role - 9 am - 5 pm
A well-established company specialising in manufacturing equipment for testing fuels and lubricants is seeking an experienced Sales Administrator to join their office in Acton. You will support the commercial team by managing sales orders, coordinating international shipments and exports, liaising with customers, and overseeing office supply management. You will also supervise one direct report.
Essential Requirements:
Proven experience in processing sales orders and managing exports
Proficient in using SAP for order entry and logistics
Supervisory experience of at least one member of staffThis is a fantastic opportunity for someone with a solid background in administrative sales support and logistics.
Duties Include:
Managing customer enquiries by providing sales quotations, processing sales orders, issuing order confirmations, and coordinating shipping logistics through SAP and other relevant software.
Preparing and handling all shipping documentation including airway bills, commercial invoices, Dangerous Goods paperwork (with certification), and additional certificates as required by the Chamber of Commerce.
Coordinating with external freight forwarders, tracking shipments, addressing any delays or missed collections, and keeping customers informed of dispatch dates and delivery details.
Updating the Shipping Analysis log with key shipment information such as tracking numbers, courier details, and applicable charges.
Supporting the commercial team by organising distributor meetings, tracking distributor performance, and assisting with sales reporting and monthly data preparation.
Assisting in general office operations such as answering calls, greeting visitors, processing mail, maintaining office and kitchen supplies, and handling front desk duties.
Filing invoices with dispatch confirmations and supporting the finance team with tasks like receipt follow-ups, invoice checks, and documentation.
Collaborating with the warehouse to prepare and pack shipments, maintain stock of packaging materials, and record specimen serial numbers.
Assisting the Business Development team by monitoring shared inboxes, replying to enquiries, and preparing sales quotations and reports.
Providing administrative support to HR and occasional assistance to the CEO and management team for meeting coordination, booking venues, and arranging supplies.Experience Required:
Experience with using SAP, good use of MS Office (Word, Excel, PowerPoint, Outlook); HubSpot is desirable
Must be an experienced sales administrator, providing quotes, taking orders, processing orders
Experience in export environments and data handling.
Highly organised, reliable, and adaptable with strong planning skills.
Skilled in multitasking, prioritisation, and problem-solving.
