Trainee Executive Assistant
Regulatory, Public and Commercial Disputes
Full Time – 35 Hours
Based in Birmingham
A leading UK law firm is looking for a Trainee Executive Assistant to join their Birmingham office, supporting the Regulatory, Public and Commercial Disputes team. This is a great opportunity for someone with administrative experience who’s ready to take the next step and grow into a full Executive Assistant role.
You’ll start by supporting a small group of lawyers, working closely with experienced EAs and support teams. Over approximately six months, you’ll build your skills, confidence, and professional relationships, with a view to progressing into a fully-fledged EA role. This is a collaborative, team-oriented environment where a proactive mindset is key.
What You’ll Need:
Experience in an administrative or office-based role, ideally within a professional services environment.
Strong organisational skills, with the ability to manage multiple priorities and deadlines.
A proactive and flexible approach to work, with a willingness to learn and take on new challenges.
Excellent verbal and written communication skills and a keen eye for detail.
The confidence to interact with colleagues at all levels and build solid internal and external relationships.
An interest in progressing into a full Executive Assistant role and developing a long-term career in legal support.
Your Key Responsibilities:
Business Development & Support: Organise meetings, travel, and team events; assist with legal directory updates and client communications; maintain internal systems and mailing lists.
Client Service & Matter Management: Ensure high levels of client service by managing data and compliance processes; support conflict checks, document preparation, and matter updates.
Diary & Task Management: Coordinate diaries and meeting arrangements; track deadlines and key dates to keep the team organised and prepared.
Finance & Billing: Assist with invoicing, billing queries, expenses, and financial reports; liaise with the finance team to support financial processes.
Workflow & Task Prioritisation: Manage multiple tasks effectively; communicate with lawyers and support teams to meet deadlines and ensure quality output.
