As an EA you will be responsible for working closely with the company's director level team and you will be their key support, managing all aspects of daily operations, managing schedules, coordinating high-level meetings, handling sensitive data as well as much more!
Outside of being a direct support, we're looking for someone that'd be comfortable stepping in and supporting with "office management" type duties in their absence and supporting the team with administration/reporting etc.
As such, previous experience within an EA/PA role is a must have and anything more office management/operations in your locker would be a huge bonus.
This is a permanent role paying a salary of up to £45,000 + bonus/benefits. The working hours are Monday to Friday, 9am - 5:30pm and the role offers a hybrid 3/2 split, there aren't set work from home days in place, the 2x days a week are up for discussion and would be put in place on a regular basis that suits you.
The company is based in the Maylands area in Hemel Hempstead, free parking available and on-site, before applying please do consider and look into the location as you'd be going into the offices at least 3 times a week.
Duties to include:
Daily diary management and planning, arranging meetings, appointments, webinars and conference calls.
Assist your key member in the execution of day-to-day ops, helping to plan and oversee their diary, tracking progress on projects and making sure all critical deadlines are met.
Oversee a number of key projects being led by your key member of the team, helping to track progress and again manage deadlines.
Organise and schedule meetings, prepare agendas, document minutes, and track follow-up actions.
Dealing with all written communications from drafting replies, screening important messages and then ensuring responses.
On behalf of yourself and your team, liaison with internal team and external partners.
Travel logistics - Helping to plan and organise schedules, accommodation, transport and any necessary documents too. This company plan, host and attend a number of exhibitions and events yearly.
Supporting on reporting, presentations and general internal/external documents.
Proactively looking at company policy, always asking, are they up to date and valid?
Office/Admin support - This is likely to include expenses, general admin/reporting support and other duties.Candidate requirements:
Proven experience as an Executive Assistant is going to be essential.
Any additional experience in more of an office management/operations capacity would be a huge bonus.
The capacity to be able to support on reporting and have good administration skills is also a big advantage.
Exceptional organisational and time management skills with the ability to handle multiple tasks and prioritise effectively.
Excellent written and verbal communication skills with a professional and courteous manner.
Ability to handle sensitive information with the utmost confidentiality and discretion.
Strong attention to detail, with a proactive and resourceful approach to problem-solving.
Tech-savvy, with proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and familiarity with digital tools for managing tasks, calendars, and communications.
Ability to remain flexible and adapt to changing priorities in a fast-paced environment.
The right to work full time in the UK.
