Job Summary

The Administrative Assistant will provide essential support to ensure the smooth day-to-day operations of the office. This role involves managing schedules, coordinating meetings, handling communications, and assisting with administrative tasks as needed. The successful candidate will have excellent attention to detail, be able to multitask, and thrive in a fast-paced environment.

Key Responsibilities

General Administration: Provide administrative support across various departments including answering phone calls, managing emails, and organizing filing systems.

*

Scheduling & Coordination: Organize and schedule meetings, appointments, and travel arrangements.

*

Document Management: Assist in preparing, proofreading, and formatting documents and reports.

*

Communication: Liaise with clients, suppliers, and internal teams to ensure smooth communication.

*

Office Organization: Maintain office supplies, order materials, and manage office equipment.

*

Data Entry & Reporting: Input and maintain accurate records, assist with data entry tasks, and generate reports as required.

*

Ad-hoc Tasks: Provide support for any additional administrative duties as needed.

Skills and Qualifications

*

Proven experience in an administrative role, preferably in a similar setting.

*

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

*

Excellent verbal and written communication skills.

*

Strong organizational skills and the ability to multitask effectively.

*

Attention to detail with the ability to manage and prioritize tasks.

*

Ability to maintain confidentiality and handle sensitive information.

*

Ability to work independently and as part of a team.

*

Proactive and self-motivated with a can-do attitude.

Preferred Qualifications

*

Previous experience in a fast-paced office environment.

Familiarity with office management systems and procedures.

A basic understanding of office software such as Google Workspace or other similar tools.
