Office Administrator

Salary: £23,400 pa FTE (£14,040 pa pro-rated)
Hours: 22 hours per week, Mon, Tue & Thur 09.00 am to 5.00 pm

THE PURPOSE OF THE ROLE
The administration assistant role assists with a mix of daily tasks and ad hoc requests as and when the need arises. The successful applicant will spend time working with different teams across the business learning their processes and understanding how we all work together to deliver an efficient and effective service for our clients and business users.
WHAT YOU WILL BE DOING AS REPORTS CUSTOMER SERVICE ADMINISTRATOR
Be a point of contact with any visitors to site
Answering the telephone in a timely and professional manner, transferring calls to relevant member of staff or taking comprehensive messages and passing onto staff member
Ensure that incoming post is received, scanned and directed to the correct recipient
Ensure that outgoing mail is distributed including: printing and franking of outgoing post including parcels; special and recorded delivery mail
Issue of customer and client satisfaction surveys
Assisting teams with the downloading of medical documentation to case
Assisting teams with acknowledging receipt of documentation received
Responding to trial availability requests
Creating appointment letters
Ensuring that records are saved to the database in line with procedures
Ensuring that data records are input accurately and kept up to date
Assisting with tasks for the Instruction Team, Enquiry Team and Reports Team
SKILLS AND EXPERIENCE REQUIRED
Excellent customer service skills.
Confident communicator via phone, e-mail, face to face.
Good administration skills.
Good computer literacy
Enthusiasm to support all teams across the business
A fast learner, willing to learn new skills.
