The Junior Project Project Planner will support the project team by coordinating admin tasks, maintaining documentation, tracking timelines, and ensuring clear communication among stakeholders. Responsibilities also include managing risk and method statements and updating clients online permit and share systems.

Key Responsibilities

Project Co-ordination

* Review contractor RAMs for accuracy before submission and return for amendments if needed.

* Attend TSS clinics and team/client meetings to understand Heathrow requirements.

* Learn and stay updated on Heathrow initiatives (e.g., commercial posters, passes).

* Understand ATP baggage submission requirements, LAS entries, and extensions.

* Ensure all required permits/paperwork are obtained and up to date for project work, start and completion dates.

* Follow up on pending or expiring permits and coordinate approvals/extensions.

* Communicate with maintenance managers to support permit approvals and build relationships.

* Conduct site visits as needed to understand Heathrow estate.

Documentation & Reporting

* Organize and archive all project documents, ensuring completed jobs are fully documented.

* Source and update COSHH sheets for new products, assigning registry numbers.

* Creation of Life Support System escape plans as needed.

* Maintain an up-to-date contact list of Heathrow approval managers.

* Request up to date area drawings if not available.

* Gain understanding Heathrow airside/landside rules and regulations.

* Track and record all transmittals and documents sent to clients.

* Prepare detailed work packs with all required documents and drawings.

* Attend a Hot Works AP training course.

Communication & Collaboration

* Facilitate communication between project teams, stakeholders, and vendors when required.

* Coordinate project meetings, agendas, and follow-ups with project managers

* Follow up issuing of contractors for RAMs after MJM POs are issued.

* Handle stakeholder inquiries and escalate issues as needed.

* Liaise with Heathrow for Documentum access/Heathrow Maps Live

* Work with regulatory bodies to ensure compliance.

Risk and Method Statements

* Support Project Managers in developing and reviewing risk assessments and method statements for submittal

* Use job quotes and survey reports to inform and populate documentation.

* Review and revise content with the PM for sign off

* Help implement risk reduction strategies and improve performance.

* Draft risk and method statements to meet current client-specific standards.

Risk Management

* Help identify and document project risks, issues, and changes.

* Support PMs in creating risk mitigation strategies.

Administrative Support

Maintain project tools and software with up-to-date data.

Learn and manage Heathrow’s CMO system, including permit tracking and updates.

Support document registry and manage Project Drive folders.

Provide general admin support and respond to office queries.

Create job folders and write Toolbox Talks as needed, upload completed Toolbox Talks & start on site forms

Contribute to improving quality, safety, and compliance processes.

Perform other duties as required within your skill set.

Be part of Health & Safety team within the company

Experience & Skills

Background in construction (mechanical/electrical); site and airport (e.g. Heathrow) experience a plus.

Experience in project administration or coordination, ideally in a project management environment.

Strong organizational, time management, and communication skills.

Good understanding of Health & Safety; Heathrow knowledge is an advantage.

Proficient in MS Office; knowledge of project management tools is a plus.

Team player with the ability to work independently.

Basic budgeting and financial tracking knowledge.
