Administrator – Support Team
Contract Type: Contract / Freelance
We are seeking a proactive Administrator to join our busy operational support team. This role provides essential assistance to both site-based and office-based teams, ensuring that reactive and planned works are processed efficiently and accurately.
Key Responsibilities

Communicate effectively with customers and colleagues, capturing and recording service calls into the CAFAM system.
*
Raise, allocate, and complete work orders for both engineers and subcontractors.
*
Monitor shared inboxes and provide phone cover as required.
*
Schedule engineers and subcontractors to ensure works are delivered on time and within agreed SLAs.
*
Liaise with subcontractors to confirm attendance dates, paperwork, and risk assessments.
*
Provide regular updates to Contract Managers and escalate delays where necessary.
*
Monitor outstanding work orders and reassign or update statuses as required.
*
Hire equipment, arrange site escorts, and support with RAMs and compliance paperwork.
*
Check and process subcontractor documentation, ensuring accuracy of start/finish times and work descriptions.
*
Support engineers with emergency jobs and ensure accurate time records are maintained.
*
Flag and report system issues and support with performance reporting.
*
Deliver a professional and efficient service to internal teams, subcontractors, and clients.
About You
*
Excellent telephone manner with strong written and verbal communication skills.
*
Strong IT literacy (Microsoft Office, particularly Excel and Outlook).
*
Accurate data entry skills and strong attention to detail.
*
Ability to build and maintain effective working relationships across teams.
*
Organised, proactive, and able to manage multiple tasks in a fast-paced environment.
Additional Information
*
CTC Clearance is required for this role (support will be provided if not already held).
*
Full training on CAFAM and compliance systems will be provided.
*
