Plymouth City Council runs two commercial business centres in the city, City Business Park and The Business Centre, which together support over 100 small businesses.
The Business Parks Team is small and friendly, and we're looking for a bright, adaptable and enthusiastic Workspace Support Assistant to join us on a part-time, temporary basis. The successful candidate needs to demonstrate flexibility and a good team working spirit. We need someone who is experienced in working in a frontline role, dealing with members of the public in a confident and friendly manner, and delivering a high level of customer care.
Responsible for day-to-day administration and reception duties and supporting the management team, the role will primarily be based at City Business Park in Stoke, although there may be a requirement to provide support at The Business Centre in Cattedown.
The role is for approximately six months, 22.5 hours a week over three days (7.5 hours a day), 8.30am - 4.30pm or 9am - 5pm depending on the needs of the team.
frontline reception duties, meeting and greeting and signing in tenants, contractors and visitors • undertaking viewings of our business units to potential tenants
processing applications and compiling tenancy agreements for new tenants
conducting inductions for new tenants and contractors
financial processes including invoicing and setting up accounts • updating and maintaining MS Excel spreadsheets and databases
reporting building repair and maintenance issues
dealing with enquiries from tenants and members of the public via phone, email and face-to-face
dealing with incoming and outgoing mail
booking out and setting up meeting rooms
assisting with the smooth running of the business centre
• previous experience of working within a reception or other frontline customer service environment
proven administration and organisational skills
good computer skills including MS Word, Excel and Outlook
a cheerful and confident personality, with a positive attitude
an excellent telephone manner and strong communication skills, both written and verbal
ability to work under pressure and use their own initiative
flexibility to work outside ‘normal’ working hours as and when required to meet the needs of the service
