Our organisation is dedicated to ensuring professionals in construction have the necessary skills, knowledge, experience, and training to make Britain's buildings safer, and we are on the lookout for a motivated administrator Assistant to join our Procurement department in Chichester.
What You'll Do:
As a Sourcing Assistant, you will play a vital role in facilitating and coordinating our sourcing functions. Your responsibilities will include:
Administration: Oversee the entire claims process by reviewing and placing notices on claims, maintaining trackers, and recovering claims efficiently.
Quality Assurance: Keep the claims process current by managing daily QA reports, ensuring weekly quality updates are available for both suppliers and the business.
Purchase Orders Management: Raise, amend, and oversee loading advices for Purchase Orders, keeping everything organised and up to date.
Stock Reconciliation: Process daily updates and weekly uploads of arrivals, collaborating with PM/SC teams to review aged stock reports.
Supplier Approval Coordination: Maintain the sourcing aspect of the supplier approval process, driving activity within the sourcing team and coordinating with other functions.
Tender Support: Manage the action log for tender tasks, assist with the tender price database, and support the sourcing team in meeting deadlines.
Performance Reporting: Maintain the supplier weekly performance report and compile monthly summaries to track progress.
Invoice Reconciliation: Liaise with the finance team and suppliers to resolve parked invoice issues, ensuring smooth financial operations.
Meeting organisation: Maintain and update action logs for meetings, ensuring all tasks and actions are tracked effectively.
Who You Are:
We're looking for someone who possesses:
Experience in a similar role with strong administration skills.
Ideally, some knowledge of SAP.
Proficient skills in Excel and Microsoft Office.
A keen eye for accuracy and detail.
The ability to work under pressure while managing time and organisational skills effectively.
Strong communication skills, both verbal and written.
You should be a team player who demonstrates patience, flexibility, and honesty, with the ability to build rapport across departments.
