About the Role:

We are looking for a versatile and detail-driven Operational Administrator to join our client in the manufacturing and distribution team. This is a key support role with a broad range of responsibilities that span customer service, order and procurement processing, logistics coordination, and product setup. You will be instrumental in ensuring efficient daily operations and smooth communication between customers, suppliers, and internal teams.

Key Responsibilities:

Customer Service & Order Management

* Serve as a point of contact for customer queries, providing timely and professional support via phone and email

* Accurately process customer orders, ensuring compliance with stock levels, pricing, and delivery schedules

* Coordinate with production and warehouse teams to track order status and resolve any issues

Procurement & Inventory Support

* Raise and manage purchase orders for raw materials, components, and supplies

* Communicate with suppliers to confirm pricing, lead times, and delivery accuracy

* Monitor stock levels and alert relevant teams to potential shortages or delays

Logistics & Transport Booking

* Schedule collections and deliveries with logistics providers

* Prepare delivery documentation (packing lists, labels, shipping notes) as required

* Track shipments and ensure on-time deliveries to customers and distribution partners

Product Setup & Data Management

* Create and maintain product records in ERP or inventory systems

* Input product specifications, pricing, and categorization details accurately

* Support updates to product catalogs, BOMs (bills of materials), and system data as needed

General Administration

* Provide day-to-day administrative support to the operations and supply chain teams

* Maintain organized digital and physical records for orders, shipments, and supplier communications

* Assist in identifying and implementing process improvements to enhance operational efficiency

Skills & Qualifications:

* Prior experience in an administrative, operations, or logistics support role—ideally within a manufacturing or distribution environment

* Familiarity with supply chain processes, order systems, and transport coordination

* Strong computer skills, especially in Excel and ERP systems (e.g., SAP, NetSuite, Sage)

* Excellent communication, organizational, and problem-solving abilities

* Comfortable working in a fast-paced, deadline-driven environment

* High attention to detail and a proactive, solution-oriented mindset
